Assigning User Rights

You need to set user rights when you first create a user profile. Once created, user rights can be changed at any time by accessing the User Profiles screen and selecting the user, and clicking the Edit button.

Selecting the Change User Rights button will open the User Rights screen. Through this screen, you can choose exactly which screens the user can see and what he or she can do when on that screen. You can expand the tree view under HIFIS 3 by selecting the Plus sign to the left of the arrow.

Step by Step: Assigning User Rights

  1. From the Administration menu, select Users.
  2. Then select the Edit the Current Record button.
  3. Use the Change User Rights button to open the User Rights screen.
  4. To select the sections of HIFIS you would like to add or remove rights to, select the Plus button beside HIFIS3, and then choose either the Main Tool Bar (which includes the Front Desk, Reports, Bulletins and Administration) or the Pull-Down Menus.
  5. Continue to select the Plus buttons to expand the list until you find the HIFIS feature for which you want to add or remove rights.

  7. Select the feature. On the right side of the screen, a list of fields and activities related to that feature will display. Use the white box beside an option to select or deselect it. When there is a green dot in the box, it means that the user has that right.
  8. If an option is highlighted red, it means that you must give a right to a feature in the list above it first (for example, you can’t give the right to Perform Single Book-Ins if the User does not have the right to Access Client Booking), or that the User’s User Type does not permit access to that feature (for example, a standard user cannot be given rights to features in the Administration section).
  9. To add or remove rights to all the features allowed for that user type, use the Make Batch Changes button and select Grant all Rights for ALL Functions or Revoke all Rights for ALL Functions.
  10. To add or remove rights to all the fields or activities listed for a feature, use the Make Batch Changes button and select Grant all Rights for THIS Function or Revoke all Rights for THIS Function.
  11. Select the Blue checkmark to save your changes.

Helpful Hint
When you implemented HIFIS 3.8, you agreed to export data to NHIS. You can now delegate the responsibility to any user.

Cloning User Rights

You may also give one user the same rights as another, as long as both users already have a profile and are the same User Type.

Scenario

Between the House of Hope and Shelley House, eight employees work on the front desk checking clients into the shelter. House of Hope also has three caseworkers. The Food Bank has two employees who will be using HIFIS. Louise has decided that she needs three different profiles for standard users. She decided to create three generic accounts, front desk, caseworker and food bank, which she will be able to clone and create the user profiles for each of the employees. This method should save her time when she needs to replace employees because she will not have to worry about picking the “right” employee to clone. Once she has cloned the user rights, Louise goes into the rights for the front desk supervisors at House of Hope and Shelley House to allow them to check in barred clients.

Step by Step: Cloning a User’s Rights

  1. From the Administration menu, select Users.
  2. Make sure that both the user whose rights you want to clone and the users who will be receiving these rights have a user profile. If not, first create the user profiles.
  3. From the List in the User Profiles screen, select the user whose Access rights are to be cloned.
  4. Select the More button and choose Clone This User’s Rights.
  5. Choose a User and use the Select button, or the All button, and then press the Blue checkmark button. Rights can only be copied to users of the same user type.
  6. A box will appear saying: “Clone (User’s) rights to # selected users?” Choose Yes.
