Rooms & Beds – For Shelters
If your service provider is not a shelter, there is no need to enter any data in this screen. Please proceed to the summary.
The Rooms & Beds screen allows you to add or edit the rooms and beds that HIFIS shows for each shelter.
The List tab of the Rooms & Beds Screen displays the rooms and beds that have already been created in the HIFIS database. You can also use the Service Provider drop down list to display the information for a single service provider.
Shelter Layout button (Shelter Map)
When you select the Shelter Layout button, the information added in the Rooms & Beds screen will display in a visual representation of the shelter’s rooms and beds. You can move the rooms around to best represent the layout of your shelter. You can drag mobile beds and drop them into different rooms.
- The Sort by Room/Bed button automatically aligns the rooms and beds according to alphanumeric order.
- The Sort by Availability button will put available rooms first and occupied rooms last.
- There is a “log of changes” function within the shelter map which keeps a record of the beds or clients moved while in the window.
- There is a Legend at the top of the window which will help you identify the status of a bed.
Bed Status History Screen
Selecting the More button at the bottom left of the Rooms & Beds screen opens the Bed Status History Screen. This screen shows the historical records of all the times a selected bed was made unavailable in the past. Bed status can be edited or deleted in this screen.
Accurately tracking bed availability is critical when calculating your occupancy rate. Your occupancy rate is calculated by dividing the number of full beds, by the number of available beds for each day.
