Data Integrity Tools
HIFIS contains tools that make routine data integrity tasks quick and easy.
The tools in this menu are generally used to search for and fix incorrect data such as duplicate name records, invalid birth dates or incorrect stay information. If you are making changes to records with the data integrity tools, it is important to make sure that the record you are changing is not being accessed by other users at the same time (for example, ensure the client isn’t being booked in while you are fixing his date of birth).
It is a good practice to complete data integrity tasks regularly. If you check your data for inaccurate and duplicate information on a regular basis, you can depend on the accuracy of your data and your reports. When determining how often you should verify your data, there are a couple of things you may consider:
- Is it easier to do a little at a time, in between other tasks, or set aside a larger block of time to complete the data integrity tasks all at once?
- How many new records do you produce every week or month? This is likely a function of how large your organization is, and whether you serve many different people, or a few people regularly.
- How often do you report to your funders and export to NHIS? You may want to check your data before producing reports for your funders or exporting.
- How experienced and accurate are the HIFIS users working in your organization?
