The clients are the reason Janine goes to work every day. She works at the House of Hope because she wants to make a difference in people's lives.
A woman comes to the reception desk. She tells Janine her name is Lara and she would like some services from the House of Hope. Janine welcomes Lara and explains that she has to ask her a few questions.
To be able to enter Lara's information in HIFIS, Janine needs to navigate to the Reception window from the Front Desk Menu.

- Select the Front Desk image from the Control Panel
- The Front Desk Menu opens
- Select Reception – the day to day Operations Hub
- The Reception window opens to a list of clients
After typing in Lara's vital information in the Last Name and First Name fields, she finds that Lara does not have a record in the HIFIS system. Janine needs to create a new client record.
Janine opens the following screen by selecting the New Client button:
She decides to enter Lara's vital details first:
Date of Birth: March 2, 1979
Note: In HIFIS, Vital Details refers to the client's name, date of birth and gender.
When working in HIFIS you should make every effort to avoid duplication of records. How do you do this? Always check to see if the record exists.
Even a slight misspelling of a name or mistyping of a date of birth could result in multiple records for a single client. Since knowing the number of unique clients is critical to getting a clear picture of your clientele, it is important that records are not entered into the database multiple times.
HIFIS has a Check for Duplicates button in the client details screen. This Check for Duplicates function compares multiple fields of information to check for similarities between clients.
