Booking in a Family Demonstration

Welcome to the Booking In a Family and Assigning Beds demonstration. In this video, you will learn how to book one or more members of a family into a shelter and assign them beds.
To book in a family, you first need to open the Reception screen, found in the Front Desk menu.
In this screen, select one of the family members that you want to book in and select the Book In button.
The Book In screen will automatically select your default Service Provider. Ensure that this selection is correct before proceeding.
To choose the family members that are being booked in, you must select them in the list at the bottom of the screen by activating the buttons beside their names, in the left hand column.
The Reason for Service field is mandatory and refers to the primary reason the family is seeking shelter.
When entering the Book-in date and time, remember that you can right-click in the field to enter the current date and/or time. You can also use the calendar button to access a calendar.
To complete the book in, you must choose the beds that the family will be booked into. Select the Assign Beds button to open the Shelter Map screen.
The Shelter Map is a visual representation of the shelter's rooms and beds. To book a client into a bed, move the cursor over the icon representing that client. Press and hold the left mouse button. Without letting go, drag the icon to the appropriate bed.
When you are booking in a family, you may want to mark the other beds in the room as unavailable. To do this, right click on the empty beds in the room. Select Make inactive – Sharing and choose Family. You will not be able to book anyone into an inactive bed until it is made active again.
Upon returning to the Book In screen, ensure that all the information entered is accurate before saving.
