Destining and travel arrangements: Sending the NAT

This section contains policy, procedures and guidance used by Immigration, Refugees and Citizenship Canada staff. It is posted on the Department’s website as a courtesy to stakeholders.

Follow these four steps:

  1. The visa office sends the NAT/GCMS NAT to the Resettlement Operations Centre in Ottawa (ROC-O) at least 10 working days prior to the arrival date of the refugee(s).
  2. The ROC-O:
    • receives the NAT and acknowledges receipt of the NAT. If an acknowledgment is not received by the next business day, send the NAT again.
  3. The ROC-O immediately forwards the information to the local Immigration, Refugees and Citizenship Canada (IRCC) offices and POE. The local IRCC office notifies the sponsor and/or SPO of the refugee’s arrival.
  4. The ROC-O will inform the visa office of incidents such as:
    • unannounced arrivals;
    • no shows;
    • changes in schedule;
    • a refugee arrived requiring a wheelchair and this requirement was not indicated on the NAT or in GCMS; or
    • any other relevant information.

Sending NAT for women-at-risk

send NATs for Women at risk separately, and include “AWR” in the subject line. If it is not possible to send the NAT separately, insert “AWR” immediately after the family name in the regular NAT.

Amendments and cancellations of NATs

If an amendment or cancellation of a NAT is necessary (i.e., change of final destination, change of flight itinerary, cancellation, etc.), the visa office must advise the ROC-O as soon as possible referring to the original NAT number. If available, provide a reason for cancellations.
