RMC Saint-Jean Sexual Misconduct Reporting and Support Services
Description
In September 2023, the Royal Military College Saint-Jean (RMC Saint-Jean) began offering sexual violence support services to cadets, members, and employees of the RMC Saint-Jean. To provide these support services, the RMC Saint-Jean hired a specialist whose tasks include providing support services, training, and awareness, as well as being a point of contact for individuals to report a sexual misconduct incident.
Also, the specialist may conduct surveys which require the collection of personal information (survey responses) from individuals at the RMC Saint-Jean.
Why a privacy impact assessment was completed
This Privacy Impact Assessment (PIA) was developed to assess the sexual violence support services provided by the specialist at the Royal Military College Saint-Jean (RMC Saint-Jean). While the manner in which those services are provided was the main scope of the PIA, the PIA also described and assessed the specialist’s activities and safeguards in receiving reports of sexual misconduct incidents, training, awareness, and surveys. All of these services have been provided at RMC Saint-Jean since September 2023) and, therefore, considered a new program warranting a PIA pursuant to the Treasury Board Directive on Privacy Practices.
Additional information
The PIA identified potential privacy risks associated with transparency and retention, as well as potential future risks related to safeguarding. Various and timely measures were identified to mitigate these risks, such as updating forms, creating a personal information bank (PIB), finalizing and releasing a policy related to the specialist’s activities, and ensuring proper safeguards are used if web-based communication platform is every utilized. These actions aim to address and manage privacy concerns effectively, ensuring that all updates and changes to the program maintain high standards of privacy protection.
