New! Automated Notifications - That make HR easier and improve pay outcomes

ADM(HR-Civ) is embracing technology to deliver client centric HR services across the Defence Team! We are leveraging automation tools and implementing them in HR processes that are predictable, repetitive, and rules-based in an effort to improve HR-to-Pay timeliness. This is the first of many improvements we are making to create digital solutions in HR.

Automatic notifications have been successfully launched in the following HR processes:

New: Automatic reminders for managers of upcoming employee end dates

This will notify hiring managers of upcoming end dates for casual workers, students, terms and acting employees within their unit on a monthly basis for all upcoming (1 to 3 months out) employment ends dates. Managers will have sufficient time to extend employment periods, plan ahead and avoid disruptions in their employee’s pay.

New: Automatic notifications to Section 34 managers

Similar to the HRMS Leave Request Notification, this process will notify Section 34 civilian managers bi-weekly after the pay day when transactions are pending in Phoenix which require their immediate action. This will allow Timekeepers to provide increased support to civilian managers to review and address their pending transactions, while providing added support to military managers processing transactions outside of Phoenix.

While the notifications are bi-weekly, managers are encouraged to check regularly for pending transactions in Phoenix to ensure timely and accurate pay for employees. Consult with the Manager’s Pay Responsibilities Calendar [PDF - 330KB]  (accessible only on the National Defence network) to continue improving pay outcomes for employees.

A soft launch occurred in February and March 2021 confirming a successful rollout of these automations. These new processes will allow us to free up capacity for value-added HR support to managers and employees and create positive HR and pay outcomes.
