Preparing for term, casual, and student end dates

Many term, casual, and student positions are approaching their end dates in March and April 2026. To keep your operations running seamlessly, here's what to keep in mind:
Planning on extending employment?
- Plan early: Submit your extension request in GC HRMS 8.9 in the Manager Self-Service HR Request module (accessible only on the National Defence network) at least 20 business days before the current end date.
- Don't forget: Casual employees can work a maximum of 90 cumulative days per calendar year within DND. Use the interactive Casual Period Calculator to double-check remaining days.
- Need Help? For student re-hire, send an email to CIV.DND.NationalStudentHiring-EmbaucheNationaleEtudiants.MDN@forces.gc.ca. For anything else, reach out to your Staffing Advisor if you have any questions.
Not planning to extend?
- For term employees: Provide one month's written notice using the End of Specified Period Employment [DOC-140KB] (accessible only on the National Defence network) template.
- For students and casuals: Written notice isn't required but please inform them as early as possible.
- Before the employee's last day: Complete all outstanding pay-related actions (e.g., leave without pay, vacation, sick leave, overtime) to avoid delays in final pay.
