The HRMS upgrade is now live: next steps

The upgraded Human Resources Management System (HRMS) is now live. There is a new link to access the system, you can continue to use your existing login credentials, but your username must be entered in all capital letters.

Be sure to update your bookmarks with the new HRMS link. The system can also be accessed in your browser “Favourites” under “DND/MDN”, “English”, then click “HRMS”.
Next steps in the upgraded HRMS
Now that the upgraded system is active, there are a few important actions you need to complete. Learn how to complete the following actions within the Employee Self-Service Guide [PDF, 2.37 MB] and by referring to the HRMS User Videos.
1. Submit your leave transactions
Any leave transaction for the 2026/2027 fiscal year can now be submitted in the upgraded system. Confirm that your leave balances are correct, and if there are any errors or missing information, please submit a request through the Human Resource Services and Support (HRSS).
If you submitted any leave for April 1, 2026, and beyond in the old system, this leave was not transferred into the upgraded system, so it must be re-entered in the upgraded system.

2. Validate schedules
Validate your employee schedule with your manager. If your schedule is not correct within the system, speak to your manager.
If you are on a personal schedule, your schedule will need to be validated and amended prior to submitting leave or overtime. If not actioned, it may result in incorrect leave usage calculations. A personal work schedule is a customized schedule that is not covered by any predefined schedules available in HRMS. Predefined work schedules that are commonly used for full-time, compressed, and part-time schedules, are not impacted.

3. Review and update your personal information
Verify that the following information is up to date within the upgraded system:
- Name: Ensures the correct name appears on your human resources (HR) documents.
- Date of birth
- Home/mailing address: The Pay Centre sends most correspondence to your mailing address. If you are on leave without access to your work email, this is the only way they can reach you.
- Personal email address: Communication may occur via email.
- Official language: HR will use this for all official correspondence.
- Emergency contact information: Used in the event you become ill, injured, missing, or pass away on duty or at work.
4. Complete the Self-Identification questionnaire
When accessing the upgraded HRMS for the first time, users must complete the Employment Equity Self-ID Questionnaire to gain access to the Self-Service features. It must be completed in both the Treasury Board of Canada Secretariat (TBS) Applications Portal (TAP) as well as HRMS. While only Section A is mandatory, all employees are encouraged to self-identify by completing Section B as well, as this contributes to building and retaining a more representative workforce.
5. Familiarize yourself with the new system
Navigation and functionality have been updated. Please review the available materials to familiarize yourself with the new system.
