Conditions, notices and acknowledgement - Canada Travelling Exhibitions Indemnification Program

The indemnity agreement is conditional upon the following terms being part of the loan agreement:

Packing, Shipping, Storage, Environmental Conditions

The Applicant shall ensure that each participating institution and storage facility follows the policies, procedures, techniques and methods with respect to packing, shipping, handling, storage, security and environmental conditions as described in the application approved by the Minister for purposes of entering into an indemnity agreement.

Condition Reports

The Applicant shall ensure that upon each occasion of packing and unpacking the objects or appurtenances covered during the period in which the Indemnity Agreement is in effect, each participating institution prepares a report setting out their condition. If there is loss or damage to an object or appurtenance that is subject of an Indemnity Agreement and a claim is filed, the claim must be accompanied by all condition reports that have been completed in respect of the object or appurtenance throughout the travelling exhibition.

The condition report shall include, in respect of each object or appurtenance:

  1. its accession number or other identifying number;
  2. the date of the examination;
  3. the name of the examiner;
  4. its description, including measurements, material composition and method of construction;
  5. a description of its condition, including evidence of previous treatment, previous repairs or alterations;
  6. the methods of examination used and the findings of the examination;
  7. photographs; and
  8. preservation requirements, such as any conditions for storage or handling.

Notice

The Applicant shall notify the Minister immediately of any change in the circumstances set out in the application on which the indemnity agreement is based by contacting the Canada Travelling Exhibitions Indemnification Program.

Mitigation of Loss

The Applicant shall ensure that in the event of loss of or damage to an indemnified object or appurtenance, each participating institution and storage facility takes all reasonable steps possible to minimize the amount of loss or damage.

Acknowledgment

The Applicant shall ensure that each participating institution includes an acknowledgment of the role of the Government of Canada in supporting and facilitating the exhibition of the object or appurtenance in any publicity material in all media, including the exhibition catalogue. Unless the Minister agrees otherwise, the acknowledgment shall be written as follows:

Report on Exhibition

The Applicant shall ensure that two copies of each catalogue, poster, and any other published material produced in connection with the exhibition are sent to the Minister.

The Applicant shall ensure that, at the conclusion of the period during which the indemnity agreement is in effect, attendance figures for each venue of the exhibition are sent to the Minister.
