The following has been updated with important information for employees and managers regarding the approved reasons for claiming leave code 699.

Defence Team public service employees: as we continue to work in an environment altered by COVID-19 and with the resurgence of COVID-19 infections in many parts of the country, preserving the health and safety of our team remains paramount. While we continue to manage COVID-19 in our ongoing operations and adapt to changing regional and local circumstances, balancing work and home responsibilities may be challenging for some members.

Over the past several months, employees’ capacity to work remotely has become maximized, as the vast majority of employees are working full time, either remotely or onsite, making use of flexible or alternate work arrangements or leave options, when needed. Although most employees have been able to leverage flexible work arrangements, some may be unable to work for reasons beyond their control. Code 699 should only be used in these situations and when all other options have been exhausted. This type of leave is not to be used to replace vacation leave.

Employees

You should have discussed the use of this code “699 Covid”, and the reason with your Supervisor/Manager before submitting your leave request.

When ready to submit your leave, we ask that when completing the form, you enter one of the reasons from the list below in the “Employee’s Comment” box at the bottom of the leave request screen (see example below). It is important that you use identical spelling from this list. A “copy and paste” from this list is the best way to make sure you respect the spelling and format.

Managers

Please note that 699 code are approved on a case by case basis, managers are to contact LR on each case for advice and guidance. Your employee and you should have discussed the use of this code and its reason before submitting the request. Before approving a leave request under code “699 Covid”, make sure your employee has inserted one of the following reasons (see list below) in the “Employee’s Comment” box. If you receive a request for Covid-related leave and comment box has been left blank by your employee, please “Deny” the request and ask your employee to amend his/her leave request, enter the appropriate reason and resubmit. The spelling of the reason in this comment box needs to be identical to the list below. A “copy and paste” from this list is the best way to make sure you respect the spelling and format.
