Privacy and security information requirements

The Pay Administration Branch would like to remind everyone the importance of privacy and the expected management of protected personal information, including pay information. All employees have legal and ethical obligations and responsibilities to:
- ensure protected personal information is securely collected, accessed, used, retained, stored, disclosed and/or disposed of in accordance with federal standards, on an authorized need to know basis only – need to know in order to administer and/or discharge duties related to assigned/authorized work;
- validate or authenticate the authorization and identity of the person(s) being communicated with about a file, prior to securely (i.e. MyKey encryption) disclosing or allowing access to protected personal information; and
- ensure that contents and/or attachments are correct.
Identified below are some resources which will assist you to better understand requirements associated with the handling of sensitive and/or protected information:
- TBS Privacy policies and guidance provides information about the roles, responsibilities and best practices of government institutions subject to the Privacy Act in protecting your personal information (privacy).
- TBS Directive on Identity Management outlines requirements that guide federal institutions in the appropriate establishment, use and validation of identity information.
- TBS Guideline for Employees of the Government of Canada: Information Management (IM) Basics aims to help all Government of Canada employees understand their roles and responsibilities in effectively managing information resources.
We also encourage all employees take the following two courses:
- CSPS Privacy in the Government of Canada (I702)
- CSPS Access to Information and Privacy Fundamentals (I015)
