Mail Referrals from Inland Offices to the Case Processing Centre in Vegreville, Alberta

Summary

This Operational Bulletin (OB) summarizes the circumstances under which regular mail received by inland offices should be referred to the Case Processing Centre in Vegreville, Alberta (CPC-V).

Background

There has been a marked increase in the volume of regular mail directed to CPC-V, primarily by local inland offices, for which no corresponding application has been received or is in process at CPC-V. In such cases, CPC-V has been returning the mail directly to the originator/client.

Instructions

To help ensure timely and effective client service, inland offices are to verify that there is an associated application at CPC-V before referring regular mail submissions to that office. If CPC-V does not have an application associated with any referred mail submissions, they will return the mail to the originating inland office to address accordingly.

If there is no associated application at CPC-V and the inland office is uncertain of how to address a given client query or request received by regular mail, a request for guidance should be sent to Operational Management and Coordination.
