Help with filing webform B403, Application for Fuel Charge Paid in Error

Before you file

Use the webforms to file an application for rebate for fuel charge paid in error (webform B403). The webforms will let you:

Have your paperwork and other documents ready.

For security reasons, our servers end a B403 webforms session after 18 minutes of inactivity. If your session ends, you will have to reauthenticate yourself and re-enter your data.

How to file

Period covered

Start date (YYYY–MM–DD): Enter the first day of the period covered by this application for refund/deduction.

End date (YYYY–MM–DD): Enter the last day of the period covered by this application for refund/deduction.

If you receive this error message “91776 – You cannot electronically file a return/refund for this period. Please refer to the Help section for more information,” you must enter more recent period dates or send a paper return to:

Add a Rebate

For each rebate amount being applied for, select or enter the following information:

Period covered

Select the applicable Fuel type:

Enter the applicable Listed province:

Reduced rate

Enter a reduced rate if the full rate was not used in the calculation of fuel charge payable for this fuel type or listed province for the period end entered. If the full fuel rate was used in the calculation of fuel charge payable, leave this field blank.

Rebate Review

Use this screen to review the details of the rebate amounts you’ve entered on this application.

When you select “Add a rebate” you will be taken to the “Add a Rebate” screen and a blank row will display allowing the user to add a new rebate.

When you select “Modify selected rebate” you will be taken back to the “Add a Rebate” screen and you will be able to change the information that you had previously entered.

You should be able to delete a rebate on the rebate review page by selecting the rebate you would like to delete and clicking on the “Delete selected rebate” button. The rebate review page will update and remove the rebate.

Refund options

Choose the following option that describes how you want your refund/rebate issued or applied:

Summary

You will see a summary of your completed application for refund/rebate. Check all of your data and make any changes before sending your application for refund/rebate. If you find an error, click "Previous" to make corrections.

Certification statement: You must tick the box certifying that the information you provided is accurate and complete before you can click “Submit”, otherwise the application for refund/rebate will not be sent.

Submit: Automatically sends the application for refund/rebate to the Canada Revenue Agency. You will then see a confirmation page.

Confirmation

The confirmation page gives details of your refund/rebate information, along with the filing date and confirmation number of the application for refund/rebate.

Keep the confirmation number for your records. Do not send us a paper copy of the documents you filed online.

Print: Prints the confirmation page.

View in PDF: You can save and print a copy of this application for refund/rebate in PDF format.

Correct errors

Correct errors
If you make an error while filling out your B403 application for refund/rebate, you will see an explanatory error message above the field that contains the error.

Correct all errors before going to the next page in the process. You will not be allowed to send your application for refund until you correct all errors.

After you have corrected all the errors, click “Next.”

After you file

Confirmation number

You will receive a confirmation number after you have corrected all errors and sent your application for refund/deduction for processing. This confirmation number means that the Canada Revenue Agency received your refund application.

You can save or print a copy of the confirmation page and the completed B403 application for refund/rebate for your records. To print a copy of the confirmation page, click “Print.” To save a copy of the completed B403 application for refund/deduction, click "View in PDF."

Do not mail us a paper copy of the refund application(s) you filed online.

After we receive your submission

We may contact you to verify your supporting documentation. This does not mean you are being audited. It is simply part of our process for all paper and electronic applications for refund/drawback.

Email notifications

Most correspondence is only available online in My Business Account by default, except when a business has changed its delivery method to receive paper mail. Business owners registered in My Business Account can add an email address to receive notifications when their Canada Revenue Agency mail is available to view in their secure online account, and when other important changes are made to their account. To register, select “Profile” then “Manage notification preferences” and follow the steps.

Troubleshooting B403 online applications for refund/deduction

Why can't you change your browser setting while you are in a secure session?

Do not modify your browser setting while in a secure B403 webforms session because it may cause your browser to freeze or the session to end.

The secure webpages for the B403 application for rebate do not display properly. Why?

Several factors can affect how these pages will display on your system. Try the following:
