Help with Represent a Client online mail for registered electronic filers
Manage online mail
Select “Manage online mail” from the “Review and update” page. Click “Continue” from the "Manage online mail" page.

Enter the EFILE number(s) that you would like to be receiving electronic notifications and click “Continue”.

Confirm the EFILE number(s) and names associated with the EFILE number(s) and click “Continue” if everything is correct.

Enter the email address where you would like the electronic notification to be sent and select the preferred language of the notification. Then click “Continue”.

Confirm the email address and the preferred language selected. Agree to the terms and conditions of use.

Confirmation page is displayed with a summary of the registration. After you complete your registration, the CRA will send a confirmation to the email address provided.
View and update email preferences
Select “View and update email preferences” from “Manage online mail” page.

Enter the new email address where you would like the electronic notification to be sent and select the preferred language of the notification. Then click “Continue”.
Note
The system will default to the existing email address associated to the representatives’ account. To enter and associate a new email address, select the “provide a new email address” radio button and enter your new email address in the applicable field.

Confirmation page is displayed with a summary of the registration. After you complete your registration, the CRA will send a confirmation to the newly added email address.

Select “View and update link to EFILE number(s)” from the "Manage online mail" page.

Select “Remove EFILE number(s)” from the “View and update link to EFILE number(s)” page.

Select “Cancel registration for online mail” from the “Manage online mail” page.

Access mail
Select “Access mail” from the Represent a Client left navigation bar.
Click the EFILE # for the correspondence items you would like to view. This will navigate you to the “View mail (correspondence)” page with a list of correspondence item(s) available to view online.
Note
Mail is a secure electronic service that lets you use the Canada Revenue Agency (CRA) website to review certain correspondence items from the CRA for the EFILE number you selected on the “Mail” page.
Note
Only eligible correspondence items issued to you electronically will be available in Mail.
Search options
Rather than searching through the list of correspondence items that are available, you can refine the list by using the criteria in the “Search options” section.
Correspondence type
Only certain correspondence items issued to you from the CRA are eligible to be displayed through Mail. To refine your search to show a specific correspondence item, you can choose a correspondence type from the drop-down list.
To use this option, select from the following correspondence types to filter the list:
- All (includes all the types of correspondence listed below)
- Preassessment review letters
- Processing review letters
Date range
The Date range drop-down will let you filter any correspondence items that were issued within a time period. When you first access Mail, the date range will be the last two months. The list of correspondence items can be refined by selecting another option.
Note
Eligible correspondence items issued to you electronically since October 20, 2014 will be available for display.
Status
To use this option, select from the following statuses:
- All
- Unread
- Read
Refine the list
- Each time you change the search criteria you must select the “Refine the list” button to change the list of results based on the selections you made.
List of correspondence items
By default, the correspondence items are displayed with the most recently issued item at the top. You can change the sequence of your search by selecting the up and down arrows at the top of each column.
The list of correspondence items will display with information in the following columns:
Status
The Status column indicates whether or not a correspondence item has been read. If the item has not been read, the status will be “Unread.” If the item has been read, the status will be “Read.”
Taxpayer name
The Taxpayer name column shows the taxpayer name, starting with the last name and then the first name.
Account number
The Account number column shows the taxpayer’s account number. Only the last three digits of a social insurance number will be displayed.
Correspondence item
The Correspondence item column gives a brief description of the item and has a link to the item. Select the item you want to view, print, or save by clicking on the link in the description and the item will download in Hyper Text Markup Language (HTML) format.
Print format
The Print format column has a link to the correspondence item in a printer-friendly format. Select the item you want to view, print, or save by clicking on the Portable Document Format (PDF) link and the item will download.
Items can be selected as many times as you like. The correspondence item will be available in Mail for a minimum of four years from the issue date, unless you choose to no longer receive electronic notification for your EFILE number.
Note
By saving a correspondence item to your computer, you will be able to view it without having to sign into Represent a Client and to store the item for as long as you want.
Date
The Date column shows the date the correspondence item was issued.
