GClingua
GClingua lets you easily obtain the Translation Bureau’s quality translation services. Find out how to access it, how to use it to request or receive translation services and how to submit a request outside regular business hours.

Accessing GClingua
GClingua is hosted on a secure cloud. To access it, you must have an Internet connection, an active user account and a password.
To obtain a user account, please contact the Translation Bureau.
Requesting and receiving translation services through GClingua
Note
You will find below the steps to request and receive translation services through GClingua.

Steps for creating a new project:
- from the "Dashboard" tab, click on the "New Project" icon to open the form and create a new service request
- in the "Contact Information" section:
- your name will auto-populate in the "Name" field. To choose a different name, select one from the drop-down menu
- enter the financial coding in the "Project IS Ref Code" and “Project IS Org Code” fields
- to find your reference and organization codes for interdepartmental settlements (IS), visit the Interdepartmental settlement coordinators and codes definition list page (accessible only on the Government of Canada network)
- enter the email address of any other recipients for this request in the "Other CC" field. They must have an active GClingua account in order to retrieve the document
- in the "Project Information" section:
- choose the type of service needed in the "Services List" field
- indicate the language of the document in the "Source Language" field
- indicate the language required in the "Target Language" field. You can add multiple languages in this field for all multilingual requests, but not for official languages requests
- indicate the security classification in the "Security Code" field. It is important to make sure that the proper code is assigned to the project in order to prevent a security breach
- select the type of text in the "Document Type" field
- indicate the specialty of the text in the "Project Domain" field
- in the "Partial Translation" field, indicate whether only part of the document needs to be translated (for example, for modifications to an existing translation). While not mandatory, you can hide the text that does not need to be translated, in order to speed up the processing of the document
- the "Date Requested" field will auto-populate
- indicate the requested deadline in the "Target Date" field, keeping in mind the Translation Bureau service standards (page accessible only on the Government of Canada network)
- if you wish, enter a reference number for your own records in the "Client Reference Number" field
- if you want a quote before the translation begins, make sure to check the "Quote Required" box
- indicate whether your project is urgent or not in the "Priority" field
- add any special information, instructions or comments for the Translation Bureau in the "Instructions and Comments" box
- add your documents in the "Documents to Attach" section
- there are 2 ways to add documents: either drag and drop the documents in the "Documents to Attach" box, or use the "Add Files" button
- once the documents are attached, make sure to identify any that are to be used only as a reference by selecting "Reference"
Note: The "Copy Short Excerpt to Translate" box is an optional entry that allows you to copy or type the text to be translated directly into the request, without adding a file.
- select the "Submit" button

Retrieving the completed files
- once a project has been delivered in GClingua, you will receive an email notification with a link to the delivered document(s).
- selecting the link will lead you to the GClingua home page
- log in to GClingua
- select the "Dashboard" menu
- in the "To Do List" section, select "Download File"
- under "Projects List", the projects with the status "Delivered" will appear
- click on the project number and then on the arrow under "Source Files / Target Files"
- to download your translated document(s), select "Download All Target Files"
- once a project has been delivered in GClingua, you will receive an email notification with a link to the delivered document(s).
After-Hours Emergency Service
The Translation Bureau’s regular business hours are from 8am to 5pm (6pm for parliamentary clients when Parliament is sitting), Eastern time, Monday to Friday, excepting statutory holidays. If you submit your translation or revision request in GClingua for immediate processing outside of these hours, you must dial the following telephone number (choose your preferred language, then select option 2):
- 1-855-997-3300 (Canada and the United States)
- 819-997-3300 (National Capital Region)
Security
GClingua’s Protected B environment ensures that your information is secure. You can have full confidence when submitting your Protected A and B documents in GClingua, thanks to its security measures:
- certification based on a security evaluation process compliant with the recommendations of the Canadian Centre for Cyber Security and Treasury Board Secretariat policies
- hosting on exclusive servers located in Canada
- access restricted to people with Reliability clearance, an active user account and a password
- data accessible on a need-to-know basis only
- an access log
- a firewall, communication encryption, encryption of data at rest
- an annual computer security audit
