Decommissioning of Unauthorized Information Management, Virtual Meeting and Electronic Communication Platforms

  1. Cadets and Junior Canadian Rangers Group (CJCR Gp) has the responsibility to protect the integrity and availability of organizational information and to protect the privacy of CJCR Gp personnel, volunteers, and cadets. To this effect, staff at corps/squadrons, Regional Cadet Support Units (RCSUs), and the CJCR Gp Headquarters have a responsibility to monitor access to information and ensure that appropriate safeguards are in place to retain and protect it.
  2. Cadet365 is the designated platform for information management at CJCR Gp for communications and documentation up to and including Protected A material. Through accreditation by the Department of National Defence (DND), Cadet365 possesses the required controls to assure a high level of confidence in the integrity of its contents. Cadet365 is the primary platform that should be used by CJCR Gp personnel for the purpose of communicating through:
    1. email;
    2. messaging, chats, and other electronic conversations between staff and cadets;
    3. virtual meetings and training; and
    4. the creation, storage, and sharing of information and data up to and including Protected A.
  3. In conjunction with Cadet365, the Defence Wide Area Network (DWAN) and Defence365 may also be used when communication with partners external to CJCR Gp is required.
  4. Individuals at all levels of the CJCR Gp are required to ensure that all communication platforms, other than Cadet365, which are currently being utilized for the purposes of supporting the conduct and administration of the corps/squadrons are discontinued no later than 31 July 2024. External communication platforms may include personal, Local Committee, or community sponsor owned instances of:
    1. Microsoft Teams and/or SharePoint;
    2. Google Classroom;
    3. Discord servers or similar chat services;
    4. newsletter and messaging services such as Mailchimp, Remind, etc.;
    5. exchange servers; or
    6. cloud based storage solutions such as Dropbox, Google Drive, One Drive, etc.
  5. In accordance with reference E, CJCR Gp volunteers may be granted access to Cadet365. In order for volunteers to obtain Cadet365 access, they must be registered with the RCSU as a CJCR Gp volunteer in the corporate human resources system. Work is in progress to implement an automated volunteer account management system; full implementation is expected before the end of the 2023-24 training year.
  6. To assist with the continued transition toward Cadet365, individuals may consult CJCR Group IT Support and Resources, engage with your Zone Training Officer or Area Office. CJCR Gp personnel may contact the IT Service Desk for technical assistance as follows:
