Make changes to your agreement
This section outlines how you can request changes to your CSJ agreement and clarifies which changes are eligible under the program.
Request a change
You must contact us immediately if:
- you require any changes to the details of your agreement
- you need to update the information provided in your application, including the contact information
- you are unable to hire a youth
- you intend to withdraw from your CSJ agreement
Additionally, the job details, such as title, hourly wage, and duties, must match what was outlined in your original application.
If you need to make any changes to the job details, contact us for approval before implementing them, otherwise the job may be considered ineligible for funding and could lead to an overpayment if costs were already incurred.
If your request for a change is approved, we will send you a confirmation email along with an updated agreement reflecting the changes.
Accommodation costs
Accommodation costs are available if you hire a youth with a disability who needs support to carry out specific tasks at work. These costs are intended for situations where the youth could not fulfill their responsibilities without the accommodation in place.
Accommodation costs include:
- personal tools, like portable magnifiers or specialized writing instruments or handles
- adaptive equipment or technology, like a voice-activated computer or speech-to-text software
- professional support services, like visual language interpreters or a personal aide
Requesting accommodation costs
You may request to add accommodation costs to your agreement as soon as you identify that a youth with a disability requires accommodation measures. To avoid incurring ineligible costs, we encourage you to contact us and submit your request for additional funds by email as soon as the need is established. All accommodation costs must be directly tied to removing barriers to performing job duties and must be both reasonable and necessary for the successful completion of project activities.
Please include the following information in your request:
- project number
- the accommodation measure and the associated costs
- the name of each participant that requires the accommodation
- a description of how the accommodation measure will remove the barrier the participant is facing in the workplace and why the associated accommodation costs are necessary for the project to meet its expected objectives
- quotes, correspondence, or estimates that indicate all costs associated with the accommodation measure
We will review all requests for accommodation costs on a case-by-case basis to ensure that they are eligible and reasonable. We will inform you whether your request has been approved in full, approved in part (with the approved amount specified), or denied. If we need more information, we will contact you to clarify.
You must keep all invoices, receipts, and bank statements related to these costs, as you will need them when submitting your claim at the end of your project.
Claiming accommodation costs
If we accept your request for accommodation costs, you will need to claim these costs in your Payment Claim and Activity Report at the end of your project. If you haven't already submitted the invoices for these costs, attach them with your claim.
Learn how you can submit supporting documents through your GCOS account in the User Guide for Grants and contributions online services.
Note: If you buy items with this funding that are worth $1,000 or more, you will need to explain how you plan to dispose of them when they are no longer needed. We may ask you for more details about this process.
