Change director

The Charities Directorate can only discuss a charity’s file with the authorized representatives on file. Therefore, it is in your best interest to make sure that we have up-to-date information about your directors, trustees, or like officials.

Note

This process does not replace the requirement to complete Form T1235, Directors/Trustees and Like Officials Worksheet, when you file your Form T3010, Registered Charity Information Return. Form T1235 is used to update the director, trustee, and like official information in the List of charities.

To change or update your directors, trustees, or like officials

Through MyBA
  1. Sign in to My Business Account (MyBA).
  2. Under your registered charity account, select “Update registered charity or RCAAA information.”
  3. Then, select “Change director” from the dropdown menu.

Whether you are adding, removing, or updating information, you must provide the following information about each person:

  • first and last name
  • position on the board
  • effective date
  • whether this person is at arm's length with other board members
  • home address
  • phone number
  • date of birth
  • social insurance number (SIN) (only if you want the director, trustee or like official to have access to your charity RR account on MyBA)

    Protecting your private information

    Your SIN allows us to confirm your identity and like other personal information, it is protected under the Privacy Act. Other directors or owners of the business number (BN) will not be able to see your SIN.

You may also upload supporting documentation to assist in your request, such as a copy of the completed form, from the “On paper” tab, for each person.

  1. Print this page for each person you are adding, removing, or updating. If making multiple updates, you can copy and paste the content into another format or use it as a guideline for the information we need to make any changes.
  2. Fill out the printed page (tick the boxes to show if a person is being added, removed, or updated). All fields must be completed.
  3. If you are adding a new director, trustee, or like official, and want them to access your charity RR account on MyBA, you must provide their SIN.

  4. Sign the completed page (it must be signed by a director or a person who has been granted delegate authority (level 3) to sign for the charity).

Other program accounts

If your charity has other program accounts with the CRA, such as payroll or GST/HST, call 1-800-959-5525 to update the information for those accounts. If your charity is incorporated, you should also tell your incorporating authority of the changes.

Privacy notice

Personal information is collected under the authority of the Income Tax Act and is used to establish and validate the identity and contact information of directors, trustees, or like officials of the organization. This information will also be used as a basis for the indirect collection of additional personal information from other internal and external sources, which includes social insurance number (SIN), personal tax information, and relevant financial and biographical information. This information may be used to assess the risk of registration with respect to the obligations and requirements as outlined in the Act and the common law. The SIN is collected under subsection 237 of the Act and is used for identification purposes.

Personal information may be disclosed to the organization and/or its representatives and other third parties under the disclosure provisions of section 241 of the Act. Personal information may also be shared with other government agencies and departments under information-sharing agreements, in accordance with the disclosure provisions under section 241 of the Act. Incomplete or inaccurate information may result in the Charities Directorate not processing your request.

Personal information is described in personal information bank CRA PPU 200 and is protected under the Privacy Act. Individuals have a right of protection, access to and correction or notation of their personal information. You are entitled to complain to the Privacy Commissioner of Canada regarding our handling of your information.
